Quickstart / Summary

  • Automate information gathering and document team member responsibilities as much as possible; see an example spreadsheet.
  • Make sure that team members clearly understand their responsibilities, that they communicate regularly, and that all requests for a given organization are handled by one point of contact on your team.

Triaging Requests

  • When you were setting up your intake procedure, you created an intake form. Make sure that form is linked to a google sheet for your team to view, collect and organize responses. Here’s a template you can start with.
  • It’s IMPORTANT that you make this google sheet private in the settings and only viewable / editable to trusted team members since people will be sharing their private info (address, phone numbers, etc).
  • If you have more needs than PPE available, it’s a good idea to gauge the urgency of the requests.
  • Multiple requests from the same organization should be grouped together and a point of contact should be established to minimize courier trips.

Team Management

  • Come up with a plan for how to tackle the requests. Be sure to delegate clearly to your team members.
  • To ensure a smooth workflow between team members who are delegated to organize distribution, frequent dialogue should be done to ensure that members are not working on top of each other.
