Search for images to work on

From the Main Menu:

  • Data
    • Search

Enter criteria to identify a batch of material to work on (e.g. pick a directory from the Date Imaged (=directory for a batch) picklist). A set of records to work on will populate the main window of the application:

Click on an Edit button in the search results to bring up the specimen details page to see the image of the specimen and its labels, a form to transcribe data into, and the data that has been read automatically from the image.

There are a set of tabs above the image. Specimen will show you the specimen, you can add preparations as appropriate, note part, preparation type, count, and possibly biological information about the specimen. If you are an expert, you may be able to identify sex from the image, if not, it may be noted in a determination (on a pin or unit tray label, usually with the ♀=female ♂=male ⚥=hermaphrodite symbols).

The Pin Labels tab will show you the labels that were on the pin of the specimen. If imaging personnel were not carefully trained in the templates, and there were many labels present, some pin labels may lay outside of the expected area and you may need to look at the whole image to see them. The pin labels will usually have locality, date collected, and collector name information. Other pin labels may have identifications, including species numbers (use the + button under numbers to add numbers found on the labels). Use the Dets. button to add identifications found on pin labels (usually as Verbatim Name). Other pin labels may have the collection the specimen came from.

If you click the + button to add a collector too many times and you need to delete a collector, you can right click on the collector row (so that the row is highlighted, you may need to click on the table header then on the row if clicking on the row is opening the filtering picklist for you instead). This will bring up a popup menu with one option "Delete Row":

Selecting this option will bring up a confirm dialog:

Similar popup menus allow you to delete number rows, preparations rows, and entries in the determination history (the Dets. dialog). If you leave a collector row blank, or both the number and number type in a numbers row, the blank row will be deleted when you press Save. The Unit Tray Labels tab will show you the labels that were found loose in the unit tray with the specimen. These typically contain identifications. Enter these determinations using the Dets. button.

If you have questions about your transcription, you can enter them into the Questions field.

When you have finished transcribing information from the labels, you can put the record into state "Text Entered", or if you can see problems that need review, into state "QC Problems". If you haven't finished the transcription, you can leave the record in state "Taxon Entered". Then press the Save button.

Once you have saved the record, you can use the < or > navigation buttons to move on to the next or back to the previous record in the set of search results.
